File Import and Export Instructions

While the Roster Manager is a great way to carry and access your team's roster information anywhere, the iPhone keyboard isn't the easiest way to input large amounts of data.  With the new text file import and export functionality (available in version 1.2), you can now build your roster and schedule using your pc or mac and then import it into your iPhone, iPad, or iPod Touch.

Creating a new roster

  1. Download the Excel template.  The workbook contains two tabs, for inputting the Roster and the Schedule.
  2. Input your data.  You can cut-and-paste data into the spreadsheet from any source, as long as the column order remains the same and no columns are deleted or added.  You may leave any column blank that you do not wish to complete.  Please note that, for schedule events, the date and time must be provided.  Otherwise, that row will not be imported.

Editing an existing roster

  1. Using the "Send an Email" function of the app, press the "Data Exports" button and mail the data extract files to yourself.  Using your mac or pc's email application, download the subsequent email and then open the attachments using Excel.
  2. Edit your data.  You can cut-and-paste data into the spreadsheet from any source, as long as the column order remains the same and no columns are deleted or added.  You may leave any column blank that you do not wish to complete.  Please note that, for schedule events, the date and time must be provided.  Otherwise, that row will not be imported.
  3. If you to update your existing roster, you may want to delete any of the rows that you did not update. 
  4. With the exception of the row that includes "CMRSCHEDULEIMPORT" or "CMRROSTERIMPORT", delete any rows that are not data you want to import.  It is critical that these two rows remain be present as the first row of the file.  The app uses these to recognize and validate that the file you are importing is a legitimate file.  If these fields are not present, the file import will fail.

Importing your file

  1. The CheckMark Roster Manager will not import the Excel file directly.  Instead, you need to save the individual spreadsheets as tab-delimited files.  To do this, in Excel select "File", "Save as", and then select the "Tab-delimited" file type. 
  2. Send an email to yourself, attaching the tab delimited file(s) you created.
  3. Open the email on your iPhone or iPad.  When you click on the attachment, the file will open and be displayed.  On the top bar, an icon will be displayed that looks like a box with an arrow.  Click on this.  On the subsquent menu, select "Open in Roster Manager".
  4. The Roster Manager application will automatically open, and the "Import Text File" page will be displayed.  To proceed with loading the data, press "Import".

Note that, if the file you selected is not properly formatted, the "Import" button will not be present.  If this occurs, return to Excel and try again.
